FREE PRACTICAL GUIDE

Supplier questionnaire checklist for UK small businesses.

Use this before completing a supplier onboarding form, pre-qualification questionnaire or straightforward compliance questionnaire. It separates the facts already held from information that still needs a decision or document.

START HERE

Check the hard requirements before spending time on the form.

Turnover, insurance, accreditations, experience and deadline requirements can determine whether an opportunity is realistic. If anything is unclear, ask the buyer through the stated clarification route.

01

Read the buyer instructions first

Confirm the deadline, submission route, file format, word limits and any pass-or-fail conditions before drafting. A form is not worth starting if the business cannot meet a stated mandatory requirement.

02

Confirm the legal business identity

Use the correct legal name, trading name, company or charity number, registered address, trading address and authorised contact. These details should agree with official records and supporting documents.

03

Prepare accurate financial information

Gather the figures and accounts requested by the buyer. Check whether a minimum turnover threshold, credit check or parent-company guarantee applies. Never estimate a figure simply to complete a box.

04

Check insurance requirements

Compare the requested employer's liability, public liability, professional indemnity or other cover with current certificates. Record limits and expiry dates exactly as shown.

05

Index policies and certificates

Create a short evidence list covering the policies, accreditations, licences and certificates the questionnaire actually requests. Note anything expired, missing or still awaiting approval.

06

Choose relevant experience

Select truthful examples that match the buyer's requested service, scale and period. Confirm that referees and contact details may be shared before including them.

07

Complete a final owner review

Check every declaration, attachment and material claim. The authorised business owner or decision-maker should approve the final answers before submission.

DO NOT FILL THE GAPS WITH GUESSES

A blank answer is a question to resolve—not permission to invent.

Never create policies, certifications, project history, financial figures or insurance cover that the business cannot evidence. Mark missing information clearly and obtain owner approval.
